The Payments tab is your central command for managing and reconciling all payments received across jobs. π³ Whether youβre accepting cash, checks, or card transactions, this tab ensures nothing slips through the cracks.
By using the Payments screen consistently, you can:
- Verify all job payments are recorded and applied π‘
- Identify unapplied payments for follow-up π
- Reconcile invoices for accurate reporting and accounting π
- Track payment methods and transaction statuses easily β

π How to Access the Payments Tab

- Click the Main Menu.
- Go to Operations > Payments.
Youβll be brought to the All Payments view by default.

Key Columns in the Payments View
.
The screen displays the following columns:
- Payment Date β When the payment was logged
- Payment ID β Auto-generated unique ID
- Amount β Total payment received
- Open Amount β Balance remaining (if partial or not applied)
- Payment Mode β Cash, Check, Credit Card, or Others
- Card Info β Last 4 digits and card type (if applicable)
- Invoice No. β Linked invoice (if applied)
- Payment Status β Applied, Unapplied, or Closed
- Transaction Status β Recorded, Failed, or Pending
- Contact Name and Description β Helps identify payment source
You can click into any row for full payment details.

Tabs and Filtering Options

- All Payments β Full payment history
- Monthly Views (e.g., April - Payments) β Quickly filter by date
- Failed Payments β Track payment errors for retry
- Saved Views β Save commonly used filters
- + Create a View β Build custom reports based on payment status, mode, or date
You can also use:
- Search bar β Locate specific payments by ID, name, or amount
- Transaction Status Filter β Sort by success, failure, or pending payments

π° How to Manage Payments

- If a payment shows as Unapplied, go to the linked invoice to apply it
- If a customer overpaid or has a balance, the Open Amount column will reflect it
- Failed transactions (e.g., card declines) will be marked in red for follow-up

Enable Card Payments (Optional Feature)

If your organization uses integrated card payments:
- Click the Enable Card Payments button in the top-right
- View card type, last 4 digits, and status for each credit card payment
- Auto-apply payments to the correct invoice based on reference matching
