Staff Availability
.
How It Works
The Staff Availability view gives dispatchers and operations managers a real-time look at which employees are available to be assigned to jobs — and just as importantly, who is not.
Each worker is listed on a row with their availability across the calendar. This includes:
Assigned jobs (automatically pulled from scheduled Work Orders)
Approved time off (e.g., vacation, sick leave, training)
Job conflicts or overlaps (automatically flagged by the system)
Roles like Driver, Helper, Crew Lead — useful when filtering for specific job requirements
Home Location to help multi-branch operators keep scheduling local and accurate

Benefits of the Staff Availability Module
🔄 Real-time Synchronization with Dispatch
As soon as a crew is assigned to a Work Order, the Availability module updates — no double data entry required.
🚫 Avoid Overbooking or Crew Conflicts
If you attempt to schedule a crew member who’s already assigned or marked unavailable, Movegistics will flag the conflict instantly — helping you maintain accurate, conflict-free job scheduling.
📍 Location-Aware Assignments
You can filter by branch location to ensure you’re only booking local crews unless an override is intended. This helps reduce drive time and ensures faster start times.
🔍 Filter by Role
Quickly identify who is certified or assigned as a Driver, Crew Lead, or Helper — allowing dispatchers to assemble the right crew mix for each job without guesswork.
📆 PTO and Time-Off Visibility
Whether it’s planned PTO, sick leave, or off days, you can enter absences that block the employee's availability automatically. These entries can be:
Manually added via the staff profile
Repeated on a schedule (e.g., every Friday off)
Tagged for context like “Injury”, “Personal Day”, or “Training”
👥 Helps Manage Hybrid or Contracted Labor
You can toggle visibility of in-house teams vs. contracted workers, and even tag “temporary” or “seasonal” to manage different labor types more strategically.
📣 Improves Internal Communication
By using availability statuses and tags, your entire ops team can stay aligned — no need to ask, “Is Jason free on Friday?” when the schedule already shows he’s on PTO or booked.

Pro Tips for Managing Staff Availability
Always tag your Time Off entries with context (e.g., "Sick Leave" vs. "Vacation") for reporting later.
Use staff role filters to plan ahead for jobs needing a driver or heavy lifters.
Hold short daily or weekly “availability checks” to confirm worker status before assigning long-distance or multi-day moves.
